communicating well. Air travel is not always in the budget and
often trying to communicate only by fax or email fails to be as

often bridges the gap.

Teleconference calls are an excellent alternative for companies
that need to communicate effectively with their employees in all
locations and even with clients who are not local.
The main benefit of teleconferencing, as opposed to simply trying
to communicate though emails, faxes and voice messages, or even
one-on-one phone conversations is that a group of people can review
their options and hear the same information at the same time.
This is the same primary benefit of holding a meeting, to disseminate
information to a group so that everyone involved receives exactly
the same information.

their people who are in different cities to hold a virtual meeting
even though each person is still at their own office location.
This can create a very effective forum that gives everyone involved
in a project or who is on a team to have input and interaction
with the rest of the group, even though they are not located in
the same office.
This can drastically reduce travel costs for a company and it
can also help to keep valuable executives and other key employees
from becoming drained and stressed by the demands of travel.
With teleconferencing, people can have access to all of the information
they normally have in their own office, and they simply need to
dial into the teleconferencing service at the correct time.
Teleconference Is Hosted By A Service Provider
In addition, meeting materials can be sent ahead physically by
courier or delivery service, or the materials can be sent digitally,
through email attachments that each participant can print out
at their end. In most cases, the teleconference is hosted by a
company that provides teleconferencing services to groups.
Each participant will need to call the phone number given by
the service and enter a special pin code in order to join the
conference call. Typically, the organizers and presenters of such
conference calls will have a special pin number that allows them
to have some additional control over the call.
Brief Introduction Of All The Participants In The Teleconference
During the teleconference call, the presenters usually have everyone
briefly introduce themselves and if needed, they can take a roll
call at the beginning to be sure that everyone who needs to be
teleconferencing with the group is present.
After this introductory period, the organizers can choose to
mute all of the callers except those who will be making a presentation.
This is very helpful for conference calls that have a large number
of people participating.
If the group that will be participating in a teleconference meeting
is rather small, then the moderator of the call can decide not
to mute any calls, so that everyone is able to speak and the entire
group can interact during the call.
This makes it much easier for the group as a whole to work through
issues and come to a consensus when needed. In order for this
to work, each person on the call must be sure that they have no
background noise going on or it will interfere with the quality
of the call.
